CaSPr application - Optimisation of the future Operating Rooms

Hict applied CaSPr in the reorganisation of the operating theatre of EpiCURA. Based on the future care demand and required capacity, specific recommendations were provided to the hospital with respect to the size and number of operating theatres.

CONTEXT AND DEMAND

In the context of the renovation and extension of operation theatres, Hict realized two studies related to following request:

  1. How to size the number of operation theatres in every site of the hospital group?
  2. Which activities and programming to define in the context of reallocation between two sites?



OUR METHODOLOGIES

Three key methodologies were used to tackle both projects:

  1. OR analysis - Operation room optimalisation model
  2. CaSPr – simulation and extrapolation of operation room activity
  3. Workshops - Strategic contribution of the hospital

CaSPr analyses the future activity of the hospital for conventional and day hospitalization and the operating theatre optimization model translates this future activity into an optimized flow. The contribution of the hospital was essential to gather all the necessary contributions regarding strategic issues.



OUR APPROACH

Through a proven stepped approach, we were able to identify the optimal scenarios.

Steps

Step 1 & 2: Data collection, validation & preparation

The following minimal data from the operation theatre were processed & validated:

  • Date of the operation
  • Starting time of the operation
  • Ending time of the operation
  • Specialism & specialists
  • Operation theatre
  • Type of operation (emergency, planned, same day)
  • Opening hour operation theatre

Step 3: AS IS analysis

After verifying and preparing the input data, we analysed the current situation:

  • For every operating theatre
  • For every specialism

While doing this, we identified potential optimisations, based on following parameters:

  • Free vacation time (TVO in the model)
  • Occupancy rate
  • Late start rate
  • Inter-intervention time rate
  • Early termination rate
  • Empty shift rate
  • Overflow rate
  • Rate of orphan interventions

Step 4: FUTURE Situation

In the next phase, CaSPr analysed the impact factor on the growth of every activity related to the different operation rooms. These impact factors were estimated on the short-term (2025) and long-term (2035).

Step 5: SCENARIO ANALYSIS

The different possible scenarios were analysed based on the optimal outcome. Through different strategic workshops, a final scenario was selected and detailed out.
