Challenge

A Belgian healthcare institution faced complex internal challenges within a specific department. These challenges included long-standing interpersonal tensions and the departure of multiple physicians.

Hict conducted an audit to analyze interpersonal relationships within the department. The focus was on thoroughly evaluating collaboration structures and identifying areas for improvement that foster collegiality and teamwork, independent of medical performance. At the same time, we assessed the impact of these relationships on current workflows within the department.

Approach

At Hict, we always employ a structured and neutral approach to address these challenges.

The process consisted of:

  • In-depth interviews
  • SWOT analysis
  • Impact analysis
  • Development of an action plan

In-depth interviews

We conducted a series of interviews with general and medical management, as well as the entire medical staff of the department. A safe space was created where all parties could individually share their perspectives, interests, and concerns without prejudice.

SWOT analysis

Our team mapped out the department’s strengths, weaknesses, opportunities, and threats, providing insight into key bottlenecks and growth opportunities.

Impact analysis

The consequences of the identified issues were assessed in terms of departmental operations, including their impact on care quality and team dynamics.

Development of an action plan

Based on the analysis, a plan was formulated with both short- and long-term solutions, including:

  • Developing a shared vision and strategic policy plan
  • Strengthening leadership and decision-making processes
  • Structuring work distribution and leave planning
  • Improving communication and conflict management
  • Facilitating implementation

Resultaten

  • Shared vision and strategy to provide direction to the department.
  • Leadership renewal to foster a culture of responsibility and transparency.
  • Structure and accountibility: clear role allocations, standardized work protocols and evaluation mechanisms.
  • Improved collaboration thanks to training and structured feedback sessions.
  • Future oriented strategy starting from a stable internal basis, and with preparation for potential collaborations and growth opportunities.

Impact

By sharing the findings with management, the board, and the medical staff, valuable insights have been gained.

Based on these insights, the department can further develop into a more cohesive and efficiently operating team. This will result in improved care quality, a balanced workload distribution, and a positive work environment, positioning the organization to successfully address future challenges and strategic opportunities.
